Pipedrive is software that allows you to manage your sales pipeline. The integration allows you to automatically send registrations through that pipeline. With the triggers, you can determine which stage of your pipeline a person should be in. This way, you can ensure that the leads you generate with webinars are followed up on.
Connecting Pipedrive
Follow these steps to connect WebinarGeek with Pipedrive:
Click ‘Account’ in the top right
Click ‘Integrations’
Choose ‘Pipedrive’
Click ‘Connect’
Log in to your Pipedrive account
Review the permissions you’ll be giving to WebinarGeek and click ‘Allow and Install’
Your Pipedrive and WebinarGeek accounts are now connected, but you still need to create triggers to make use of the connection. Read on to find out how.
Please note! Disconnecting Pipedrive and/or connecting a different account means the loss of your configured triggers.
Triggers
Triggers are what order the integration to synchronize data between WebinarGeek and Pipedrive. When a certain event is triggered, this trigger will ensure that a process is executed afterwards.

Actions
Actions are what the software is ordered to do when a trigger is fired. You can, for example, configure that a contact is added to a mailing list when they sign up for a webinar.

The following actions are available for Pipedrive:

Creates or updates a contact in Pipedrive.
Create or update a deal
Creates or updates a deal in Pipedrive. Read more about this action here.

The following action is only available for the ‘New registration’, ‘New viewer’ and ‘New replay viewer’ triggers.
Create or update activity
Creates or updates activity in Pipedrive. Read more about this action here.
All of the actions listed above create a contact in Pipedrive if one doesn’t exist yet. If a contact already exists, it's updated with new information.

Create or update a deal
Deals are an important feature of Pipedrive, allowing you to keep track of your progress with someone. As people interact with your webinars, you can decide which ‘stage’ of your deal pipeline they should land in.
To use this action, you have to configure three things:
Which pipeline should be used?
This is a mandatory dropdown field. Here, you select which deal pipeline should be used for the deals created by the trigger. Any pipeline can be used, but we’ll use the standard pipeline in Pipedrive as an example here.
Which stage should the deal currently be on?
This is an optional dropdown field. With this field, you configure which deals qualify for the trigger. Let’s say, for example, you select ‘Qualified’ here. In this case, only deals that are already in ‘Qualified’ will be moved to a new stage of the pipeline.
Which stage should the deal be created in or moved to?
This is a mandatory dropdown field. This field is used to configure which stage of the pipeline the deal should be created in (in case it doesn’t exist yet) or be moved to (in case you selected a ‘currently on’ stage and the deal already exists in a specific stage).
You can, for example, set your integration up as follows:
When someone subscribes to a webinar, create a deal for them in ‘Qualified’. This signifies that the person in the deal has subscribed to one of your webinars.
Configure it so that, when someone views the webinar, the current stage for the deal has to be ‘Qualified’, and then use the third field to configure that the deal should be moved to ‘Contact Made’.
With this example, you can easily keep track who has subscribed to and watched your webinar.
Please note! Because deals must be connected to a contact or company in Pipedrive, this action also creates and/or updates contacts.
Create or update a lead
Leads are a Pipedrive feature meant for leads that aren’t yet in your deal pipeline(s), either because they aren’t ready yet or because they’ve gone cold. This is a good alternative to the ‘Create or update deal’ trigger if you don’t immediately want to get into contact with the lead solely based on webinar participation.
When you use the ‘Create or update lead’ action, you can specify which lead label you’d like to add to the lead.
It’s also possible to run multiple ‘Create or update lead’ actions, allowing you to change the label based on actions taken by the lead. You could, for instance, create a ‘New payment’ trigger, using it to set the lead label to ‘Hot’.
The lead label(s) can also always be changed inside Pipedrive by opening the lead’s details and clicking the label entry.
Leads in Pipedrive can be converted to a deal at any time by selecting them in the list and clicking ‘Convert to deals’.
Please note! Because leads must be connected to a contact or company in Pipedrive, this action also creates and/or updates contacts.
Create or update activity
Activities are a Pipedrive feature meant to keep track of your next actions when it comes to a contact. In the case of the integration with WebinarGeek, this is used to keep track of upcoming webinars the contact has subscribed for, or past webinars they’ve watched.
Here is an example of the ‘Activities’ tab on a contact's page. As you can see, it creates a list at the bottom which allows you to easily see which webinars the lead has attended.
The activities also come with the viewing link as the location and a note containing the contact's subscription data. This can be viewed by opening the activity in question from the ‘Activities’ tab.
Please note! Do not edit or remove the location in your Pipedrive activity, because this is used to update the activity.
All activities are automatically marked as ‘Done’, no matter if the webinar has taken place or not. This is to prevent the integration from clogging your ‘To Do’ list in Pipedrive.
Activities in Pipedrive are created for specific days, as they’re connected to a calendar. When someone subscribes to a live or automated webinar, the activity will be “planned” for their scheduled broadcast date. For on demand webinars, the activity will be created for the subscription date, as it can be watched at any time.
This trigger/action also keeps the activity updated with other viewer actions, such as sending chat messages or asking questions.

WebinarGeek’s Pipedrive integration also comes with the option to configure sets of triggers with a single click.

Using the ‘Activities’ trigger template configures the integration to create and/or update activities related to the contact in question when they subscribe to or watch a webinar.
Fields sent to Pipedrive
The following information is sent to Pipedrive if provided on the participant’s registration form:
First name
Last name
Email address
Company name
Phone number
Please note! Company name isn’t forwarded when using the ‘Create or update deal’ trigger.
We also include the date and time of the webinar and the participant’s unique watch link.
If you need more data to be sent to Pipedrive, you can do this with our Zapier integration.
Contacts, leads and deals
Our Pipedrive integration offers the option to create/update contacts, leads and deals. But what is the difference between these three?
A contact is fairly easy to understand: this is a record of someone that has once interacted with your company and/or product, whose information has been saved in Pipedrive.
Leads and deals are a little more complicated. As per Pipedrive, deals are meant for ongoing transactions, going through the stages of your deal pipeline until the deal is either won or lost. Leads, on the other hand, are people that are potential deals but not quite ready to move through the deal pipeline. Keeping this in mind, we recommend using the ‘Create or update lead’ action until the lead takes an action that warrants them entering your deal pipeline. This is, of course, just a tip; you can also use the ‘Create or update deal’ action directly if you’d prefer.
