Triggers on a webinar level

Easily create an integration trigger with your email marketing software. Registrations will be added to your mailing list automatically!

To find the triggers currently set up in your webinar, follow the steps:

  1. Click on the webinar.

  2. Click on 'Edit webinar'.

  3. Navigate to 'Registration' > 'Integrations'.

A connection with your favorite email marketing software will enable you to directly add a webinar subscriber to a list.

Add a trigger to ensure the link will work properly. A trigger will start an automated process after an event occurs, such as a new registration for your webinar.

Triggers can be set on account level or for individual webinars. This way, you’ll always control the setup of your triggers.

Adding a trigger for individual webinars

After establishing a link with your favorite marketing tool, you can start setting triggers. When creating a new webinar, it’s possible to set a trigger for that particular webinar. These triggers will only ever work for one webinar, which is the one you created the trigger for.

To do this, follow the steps:

  1. Click on the webinar.

  2. Click on 'Edit webinar'.

  3. Navigate to 'Registration' > 'Integrations'.

  4. Select your platform and choose 'New webinar trigger'.

  5. Choose the trigger you wish to use and set up the action that should be executed.

  6. Click on 'Add trigger' to activate the trigger for this webinar.

Removing a trigger for individual webinars

To remove a trigger, you can follow the steps:

  1. Click on the webinar.

  2. Click on 'Edit webinar'.

  3. Navigate to 'Registration' > 'Integrations'.

  4. Click on the integration you set the trigger for.

  5. Choose 'Options > 'Remove'.

  6. The trigger has been removed from this specific webinar.

Connecting triggers to a series

If you link a webinar in a series, triggers from ActiveCampaign and Mailchimp work a little differently. These integrations pass on the information in another way. When a participant signs up for an X number of broadcasts of a webinar series, the ‘webinar subscribed’ trigger is also triggered an X number of times.

Please note! You may find that only the last viewing link is sent along to your system because registrations for a series are received by HubSpot at the same time. As a result, HubSpot will not send multiple emails. Your subscribers will then only receive the viewing link of the last webinar of the series.

If you link WebinarGeek to Zapier, you can use the trigger "subscribe to a webinar series" to subscribe someone. The subscriber will then receive a single confirmation email with every link added to the mail.

After each episode of a series that a participant watches, the ‘webinar watched’ trigger is triggered separately, because this does not happen at the same time. Participants will, in this case, receive the email you’ve set an X number of times (for example the replay or an offer in a follow-up email). So pay attention to how you set the timing for the triggers in the integration.
