Integrately is a web-based service that allows you to connect different tools with each other. This way you can connect WebinarGeek with more than 1,000 other tools.

You can, for instance, when someone subscribes to your webinar, email all the subscription info to yourself (via Gmail), add it to a Google Spreadsheet (via Google Docs) or add it to your CRM system.

Many organizations offer an integration with Integrately, to see which ones and to explore the possibilities you can visit the Integrately website.

Requirements

To use the Integrately integration for WebinarGeek:

  • You need to have a Integrately account (available for free as well as paid).

  • You need to have a WebinarGeek subscription which includes marketing integrations.

Create a Integrately account

You can create a Integrately account on the Integrately website, sign up for a free account using the 'Try For Free' button. You can also login to an existing Integrately account or select one of the paid subscriptions.

Connect Integrately with WebinarGeek

Integrately and WebinarGeek work together through the use of tasks. Tasks are managed in Integrately and receive your data from WebinarGeek to send to another tool.

Log in to your Integrately account to establish the connection between WebinarGeek and Integrately.

  1. Click on 'New Automation' to create a task.

  2. Search in 'Search app' for the WebinarGeek app and select it.

  3. Click the ‘+ Select App 2’ button and search for the application you want to connect to WebinarGeek.

  4. Select a ‘1 Click Automation’ (premade automations that are easy to configure) or scroll down to create your own under ‘Can't find your Automation? You can create on your own.’

1 Click Automation

  1. You’ll be asked to connect your accounts. First, click ‘Get API Key’ on Integrately. This will open a WebinarGeek page. On the WebinarGeek page, click ‘Generate API key’ if you don’t have an API key yet and/or copy the API key. Paste the API key in the field in Integrately and then click ‘Continue’.

  2. Click ‘Use Sample Record’ to use a default data set (recommended for beginners) or ‘Don’t use sample record, I will create it in the WebinarGeek and check again.’ if you want to create your own.

  3. Now follow the instructions in Integrately to configure the automation.

Create your own

  1. Scroll down to the bottom of the page and select a trigger on the left side under ‘When This Happens’. This is what will prompt the automation to activate. If you select ‘Subscriber is created in WebinarGeek’ for example, the automation will fire when someone becomes a subscriber to one of your webinars.

  2. On the right side, under ‘Do This’, select what the automation should do. The available options depend on the application you’ve chosen to connect WebinarGeek with.

  3. You’ll be asked to connect your accounts. First, click ‘Get API Key’ on Integrately. This will open a WebinarGeek page. On the WebinarGeek page, click ‘Generate API key’ if you don’t have an API key yet and/or copy the API key. Paste the API key in the field in Integrately and then click ‘Continue’.

  4. Click ‘Use Sample Record’ to use a default data set (recommended for beginners) or ‘Don’t use sample record, I will create it in the WebinarGeek and check again.’ if you want to create your own.

  5. Now follow the instructions in Integrately to configure the automation.

Trigger: Subscriber is created in WebinarGeek

The ‘Subscriber is created in WebinarGeek’ sends the data of new subscribers to other applications through Integrately.

Important to know for this trigger:

  • You have to select one webinar to run this trigger for.

  • It doesn’t matter where the registrations come from: the registration page, an embed form, the API, CSV imports, etc. The data is sent to Integrately in all cases.

The data of a subscriber that’s available is:

  • Firstname and email address.

  • Any data from the standard registration fields you added to your webinar.

  • The 'External ID' of your registration, if you specified one.

  • The unique ID of the registration within WebinarGeek.

  • All consent fields including labels.

  • The IP address of the user which subscribed.

You can see your latest registration in Integrately as an example, so you can use those fields to create your task.

Trigger: Webinar is watched in WebinarGeek

The ‘Webinar is watched in WebinarGeek’ sends the data of new viewers to other applications through Integrately.

Important to know for this trigger:

  • This trigger runs for all of your webinars simultaneously.

  • For live and automated webinars the event will be triggered instantly when someone becomes a viewer. This happens after roughly one minute of viewing, so the viewing time sent with this trigger is not accurate.

  • This trigger only works for live, automated and on demand webinars. Replay viewers are not included.

The details which are available from someone who has viewed your webinar are the same as the fields you could use under 'Subscriber is created in WebinarGeek', however the added value of this trigger is that when it triggers all watch information also becomes available. This includes viewing time, calls to action and more. You can find a full overview of the fields in our API documentation under 'Retrieve a subscription'.

You can see your latest registration in Integrately as an example, so you can use those fields to create your task.

Trigger: Replay is watched in WebinarGeek

The 'Replay is watched in WebinarGeek' trigger sends the data of new replay viewers from WebinarGeek to other tools through Integrately.

Important to know for this trigger:

  • This trigger runs for all of your webinars simultaneously.

  • It will take about 15 minutes after the first moment of watching for this trigger to get data, so it might be that the viewer is still watching.

The details which are available from someone who has viewed your webinar are the same as the fields you could use under 'Subscriber is created in WebinarGeek', however the added value of this trigger is that when it triggers all watch information also becomes available. This includes viewing time, calls to action and more. You can find a full overview of the fields in our API documentation under 'Retrieve a subscription'.

Trigger: Payment is completed in WebinarGeek

The ‘Payment is completed in WebinarGeek’ sends the data of newly completed payments to other applications through Integrately.

Important to know for this trigger:

  • This trigger runs for all of your webinars simultaneously.

  • Only completed payments are included, so you can generate an invoice for your bookkeeping system based on this trigger.

The details which are available from someone who has viewed your webinar are the same as the fields you could use under 'Subscriber is created in WebinarGeek', plus information about the payment such as payment date, amount and payment method. Useful if you want to, for example, generate an invoice. You can find a full overview of the fields in our API documentation under 'Subscription payments'.

Action: Subscribe to broadcast in WebinarGeek

An action is what happens when a trigger fires off. Actions can be triggered by other applications. The action “Subscribe to broadcast in WebinarGeek” can be used to automatically register someone to your webinar.

How it works:

  • The action subscribes someone to a specific broadcast.

  • Mandatory registration fields should always have a value, otherwise the action will fail. Email and first name are always required.

    • Example: If you have a mandatory field such as ‘company’, make sure to provide a value for that field.

  • The post-registration flow stays the same. A confirmation email will be sent upon registration unless you disable it.

  • Subscribers from Integrately are labeled as ‘integrately’ so that you can identify them separately from other registration sources.

Available fields for “Subscribe” Actions

The registration fields you can include are:

  • Firstname, surname and email address

  • Company name

  • Phone

  • Country

  • Time zone

  • External ID

  • Extra fields (with the same label as extra field)

  • Consent fields

  • Custom field (used to track the source of registration)

Please note! Make sure to always include the fields you have set to be mandatory. Empty fields can cause the subscription to fail.
