Registration process for participants

Learn more about how your viewers experience the registration process for your webinars.

Being aware of the steps your viewers go through to get to your webinar is very important. That’s why we line out the entire registration process in this article, up until the moment they join the webinar. There are two ways for people to register for your webinars: through the registration page and through an embed form. We’ll take a look at both.

Through the registration page

Visitors of your webinar are first greeted by your customized registration page.

When they enter their email address and click ‘Continue registration’, a new window will appear where they’re prompted to enter the rest of their information. There can be multiple pages in this window depending on the amount of information you’re requesting from the subscriber.

Once they click ‘Confirm sign-up’ in this window, they’ll see the confirmation window that shows their unique viewing link and offers the option to resend the confirmation email.

Tip! If you want subscribers to only receive their unique viewing link through the confirmation email, use the ‘Send viewing link only per email’ setting.

When they close the window, the registration page will remind them that they have already registered for the webinar. They can click ‘See your upcoming broadcast’ to review their unique viewing link and resend their confirmation email.

Keep in mind that reopening the registration page from a fresh link will remove the notification that they’ve already registered and the option to see their unique viewing link. However, the subscriber will always have access to their unique viewing link through the confirmation email they’ve received.

Through an embed form

With a ‘Button’ or ‘Custom link’ embed

Two of the options for embedding your registration form are the ‘Button’ and ‘Custom link’ options. These place either a button or a link on your website, which people can then click to open the registration form.

After clicking the button or link, a new window opens where people have to enter their information. There can be multiple pages in this window depending on the amount of information you’re requesting from the subscriber.

After finishing and clicking ‘Confirm sign-up’, the subscriber is shown a confirmation page with the title and date/time of the webinar plus their unique viewing link. They can choose to resend their confirmation email or close the window.

With an ‘Inline embed’

The ‘Inline embed’ option places the registration form directly on your website, removing the need to click a button or link first. Subscribers can enter their information directly on your website. There can be multiple pages in the form depending on the amount of information you’re requesting from the subscriber.

After finishing and clicking ‘Confirm sign-up’, the subscriber is shown a confirmation page with the title and date/time of the webinar plus their unique viewing link. They can choose to resend their confirmation email or close the window.

Unsubscribing from a webinar

Unsubscribing from a single webinar

Subscribers can unsubscribe from any webinar through the link that’s included in the confirmation email by default.

They’ll find themselves on the unsubscription page. Here, they can either choose to confirm that they want to unsubscribe or cancel the action.

If they click ‘Cancel’, they’re returned to the registration page where they can see that they’re signed up and review the webinar information and their unique viewing link.

If they choose to unsubscribe, the page changes to inform them that they are now unsubscribed. The title and date/time of the webinar they unsubscribed from will appear as strikethrough text.

Clicking ‘Close’ returns the viewer to the registration page.

Unsubscribing from a webinar series

Subscribers can unsubscribe from any webinar through the link that’s included in the confirmation email by default.

They’ll find themselves on the unsubscription page. In the case of webinar series, they can select which webinars in the series they want to unsubscribe from. That can be one or two of the webinars in the series or all of them at once.

If they click ‘Cancel’, they’re returned to the registration page where they can see that they’re signed up and review the webinar information and their unique viewing links.

When they click ‘Unsubscribe’, a confirmation window pops up to ask if they’re sure they want to unsubscribe from the selected webinar(s).

If they choose to unsubscribe, the page changes to inform them that they are now unsubscribed from the chosen webinar(s). The title of the webinar they unsubscribed from will appear as strikethrough text. They also see a list of the webinars they’re still subscribed to from the series.

Clicking ‘Close’ returns the viewer to the registration page.

Confirmation email

By default, subscribers receive a confirmation email whenever they sign up for a webinar. This confirmation email can be edited to your personal preference or disabled.

Custom confirmation page

The confirmation pages mentioned earlier in this article are the standard confirmation pages offered by WebinarGeek. However, you can set up a confirmation page on your own website and redirect subscribers there instead of showing the standard confirmation pages. Keep in mind that the registration page and embed forms have separate settings for custom confirmation pages.

Frequently asked questions

What happens when someone tries to subscribe twice?

The rest of the form opens as normal, but when someone finishes the form they’re informed of the fact that they’re already subscribed. They can then choose to resend their confirmation email.

What if someone unsubscribes from a single webinar in a series but wants to resubscribe to it?

They can simply resubscribe to that specific webinar of the series through the registration page or embed form.

Why is the form a two-step process? Why can't people enter all of their information on the same page?

We’ve spent 10 years doing in-depth research and analyzing data from tens of thousands of webinars to find the best way to turn visitors on a registration page into actual sign-ups.

Based on that, we created a flow where visitors first leave their email address. This way, they’re already involved in the process. Our data shows that almost no one drops out after this step, and it leads to higher conversion than showing the full form right away.

It’s similar to how online shopping carts work in steps, and in the end, it gives the highest conversion from visitor to registration. This is also known as the wizard design pattern.
